Vendor Almanac

iCampPro is camp management software backed by iClassPro, built for day, overnight, and family-style camps. It covers online registration and waitlists, digital camp forms and agreement/waiver collection, camper health records and medication-administration tracking, cabin and friend-group assignments, seasonal staff hiring, a parent-facing Registration Portal, an email/SMS communications center, an onsite camp store point-of-sale system with prepaid camper spending accounts, and general-ledger financial reporting. Payment processing runs only through the vendor's integrated payment services — it describes itself as a "PCI compliant, Level 1 certified payment facilitator (PayFac)" — and outside processors are not supported.

A per-registration software fee. Card and ACH payment processing are billed separately per iCampPro's Payment Processing Fees page (see `fees`).

Features

iCampPro against the camp management checklist iCampPro's own pages
Feature Support Checked
Online registration Yes [src]
Registration Portal lets families "review upcoming registrations, see open camp options, sign up for waitlists, manage payment options, fill out forms, and more"; Express Registration Links guide families directly into a specific camp event's sign-up.
August 25, 2026
Camper health records Yes [src]
"Use standardized health fields in forms to collect details on allergies, conditions, and medications." Includes a built-in library of "over 800 common medications" and an editable library of common conditions/accommodations (e.g. epilepsy, diabetes), gated behind role-based staff permissions.
August 25, 2026
Medication management Yes [src]
"Camp nurses can easily see which campers need medication at specific times. As doses are marked as administered, campers are removed from the list and intentionally skipped doses may be noted with reasons. Visual indicators help teams protect campers from unintentionally missed doses."
August 25, 2026
Digital waivers Yes [src]
"Agreements & Waiver Forms — Camps can create an unlimited number of forms for agreements or waivers ... and attach them to specific camp events to collect during registration. Add text, attestation checkboxes, and auto-filled date and time stamps for easy online collection in the Registration Portal." The page describes attestation checkboxes with date/time stamps; no drawn or typed signature is mentioned.
August 25, 2026
Payment plans Yes [src]
"Payment Plans – Offer one or more payment plans to help keep camp affordable and accessible for your families. You may set a deadline for signup for each plan, as well as a deposit or specific payment installment dates." Confirmed again on the Camp Management page: "payment plans with different deposits, installments, and frequencies."
August 25, 2026
Discounts and financial aid Partial [src]
"Coupon Codes – ... Share a code with customers with an expiration date for a dollar or percentage discount and either limited or unlimited uses." The Camp Management page separately notes "Organizations may be linked to a camp to help cover some of the registration fees." Both are generic discount/sponsor tools; no named sibling-discount or scholarship-specific feature was found.
August 25, 2026
Integrated payment processing Yes [src]
"iCampPro requires customers to use our integrated payment processing services. This ensures full access to our payment features and seamless reporting across the platform." The same page calls iCampPro Payment Services "a Level 1 PCI-compliant provider"; the Registration Portal page describes the organization as "a PCI compliant, Level 1 certified payment facilitator (PayFac)."
August 25, 2026
Customer portal Yes [src]
Registration Portal: a branded (logo, colors, custom greetings) household dashboard for registrations, forms, payments, camp store balances, and a searchable custom FAQ tool.
August 25, 2026
Two-way customer messaging Partial [src]
Built-in email + SMS communications center with templates, scheduling, saved audiences, and open/click tracking, described as one-to-many sends: the page tells camps to set a reply-to address on outgoing communications "to get replies directly in that email inbox," and no in-app two-way conversation feature is described. SMS is a paid add-on billed per message credit and "isn't included in standard iCampPro contracts."
August 25, 2026
Photo sharing Unknown
No photo-sharing-to-parents feature appears on the comprehensive features-overview page (camp-management-software-features) or any other fetched product page; every "photo" match found in those pages' source was the website's own image-gallery widget code, not a product feature.
Cabin assignments Yes [src]
Camper Groups tool: name group types ("cabins," "teams," "pods"), set size/age/gender rules per group, and "simply drag camper names into the group they should be a part of"; staff can also be assigned to cabins/groups.
August 25, 2026
Activity scheduling No [src]
"Does iCampPro offer camp activity scheduling or track preferences? At this time, iCampPro does not offer activity scheduling features. However, camp forms may include questions to collect camper preferences for activities ... Additionally, camper groups may be used to organize attendees into activity groups for assigning rotation groups if the feature is not being used for cabin assignments."
August 25, 2026
Transportation management Unknown
No bus/route/shuttle/transportation feature or page was found anywhere on the site, including the comprehensive features-overview page and main navigation — but unlike activity scheduling, no explicit vendor statement confirms its absence.
Camp store accounts Yes [src]
On-site POS kiosk ("Accept cash, credit, or campers' prepaid camp store accounts at checkout") plus prepaid camper spending accounts families fund from the Registration Portal, multiple storefronts, and inventory/vendor-shipment tracking.
August 25, 2026
Camper check-in and check-out Yes [src]
"Your camp can choose between a simple one-tap check out process and an authorized pickup confirmation workflow. With pickup confirmation enabled, your team can identify designated pickup persons from camp forms and add notes." Families "add or update authorized pickup contacts" via online camper forms. (This detail is in the page's scroll-triggered HTML, not its plain-text render.)
August 25, 2026
Staff recruiting and onboarding Partial [src]
Full applications/hiring workflow: job postings, custom applications, automated reference-collection emails, and custom interview forms with grading. No built-in certification or background-check tracking: "our primary focus is on optimizing the workflows that help camp teams narrow down job applicants ... our camp staff recruitment tools do include webhooks, which allow the delivery of key information to external software APIs based on offer status triggers" for background checks, not a native tracker.
August 25, 2026
QuickBooks sync No [src]
"Does iCampPro replace accounting software like QuickBooks? No. Our financial reporting tools are designed to support operational financial visibility ... Camps should continue using their existing accounting platforms alongside iCampPro's reporting capabilities. There are no direct integrations or APIs with third-party accounting platforms."
August 25, 2026
Reporting and dashboards Yes [src]
"A configurable general ledger style interface, which includes a trial balance summary, drill-in features to review activities" plus GL-code and AR-report customization and CSV export; access is controlled by user role.
